Venue and practicalities

Stuff that is there:
- 41 chairs (57 more coming from Renor who is sponsoring the place)
- 19 noticeboards (0,5*1 m)
- 10 small reception tables and 1 bigger round table
- 15 portable walls (average size 1*1,5m)
- 3 toilets
- fridge
- bookshelf
- Old printing machine
- some crap that needs to be taken away
Borrowing agreed about
- wireless mike and speakers from TKK
- projector and valkokangas from TKK
- video camera and Jesse to shoot from TKK
- 12 bushes from Espoo city
- dozens of tree-trunks from Vantaa city (they don't want them back)
People to help out with constructions and practicalities during the event
- Teppo Jalli, Suomen eko-yrittäjät (coming 21.10. and 30.10. evening to help with something suitable)
In process
- Possibility to use sauna department of Sokos Hotel Vantaa
- Organizing Belbin teamroles exercise for Helsinki AIESECers so that they'll take part in the construction at the same time
Ideas
- borrowing dishes and furniture from Tikkurila recycling center
- borrowing chairs from a catholic church room that is unused in the same building
- borrowing showers from Sahrami tanssistudio in the same complex
- gathering old posters from video rentals and used papers from own homes
- finding a sponsor for name-tags, pens and markers
- borrowing laptops from somewhere, e.g. finding a sponsor for it, so that people could make marketing material
- finding a sponsor to lend facilities and put there wireless Internet connection
- Asking for sponsoring or discount from Bajamaja
- Asking YTV if they could handle dry-toilet waste (Biolan is very interested in helping us with the toilets but they can just bring the composting containers and building manufacturers would need to bring the buildings and it's harder to motivate them for a societal cause)
- promoting the event volunteering opportunity for other youth NGO members (finding a sponsor or squeezing from budget some gift for them, e.g. mattock and seeds in Africa - http://www.toisenlainenlahja.fi/index.php?id=514)
- organizing "connection meals" so that people can suggest where they want to go to eat (based on suggestions e.g. on the wall) and what they want to talk about and others can join their group.
- finding a sponsor for breakfast food (at least bread, yoghurt, cereals, cheese, ham, butter)
- buying vegetables and fruits from LM Laatutuote a bit under normal tukku price (all items 4-8 e/box, about 90 cents/person if 1/3 stay over night)
- making an electronic delegate booklet so that partners would get more visibility and delegates would utilize all the opportunities, especially as not all the stand hosts are there for the whole time
- adding list of participants and their email addresses to the delegate booklet (might require asking their confirmation if it's ok)
- Borrowing truck and somebody to drive it from LM Laatutuote (probably possible for free during some weekday
- Asking a tree-trunk-mover from Vantaa city to move tree-trunks to Silkki for free or with discount (place is not far away but it requires a truck and a picking machine or minimum 8 people to move the biggest trunks)
- Asking Heureka if they have some decoration stuff going to rubbish from an exhibition and if we could get discount for evening program there
